Terms of Business

All Rooms and Rates offered by the Royal Oak are subject to availability and the discretion of the Manager. Limited numbers of suitable rooms may be allocated to individual rates, packages or promotions and when these allocations are taken up, remaining available rooms may be offered to Clients at a different or higher price. Rates are per room inclusive of (full Sussex) Breakfast, one complimentary newspaper of your choice and VAT. Extras charged to your bill are drinks and meals, consumed in the restaurant, bar or your room,extras requested by the clients (such as bouquets) and service where applicable.

Bookings

Bookings must be guaranteed for the by a credit or debit card, by payment of a deposit or by agreement in writing with a travel agent or hotel booking company. Prepayment of the whole stay may be required at the discretion of The Royal Oak at certain times throughout the year.

Arrival and Departure

Rooms and cottages are usually available from 3pm on the day of arrival. Departure is by 11am. Failure to check out by this time will entitle The Royal Oak to charge an additional fee. Early check in or later check out can sometimes be arranged and may be possible by prior arrangement with the duty manager.

Car Parking

Free car parking is available to guests. The Royal Oak does not accept any responsibility for damage to, or theft from, or theft of, vehicles parked on the premises.

Cancellations, Amendments and Non-arrivals

There is no charge, and any deposit will be returned, if a guaranteed reservation is cancelled at any time up to 72 hours prior to the day of arrival with the exception of pre-arranged parties or groups (of 3 or more rooms/cottages) where a longer notice period and deposit may have been applied. In the event of a non-arrival or cancellation after this time a charge equivalent to one nights’ accommodation at the package rate at which the reservation was made will be levied. Normal terms of payment apply to these charges. The Royal Oak reserves the right to offset any amount payable for such cancellation against the Client’s credit or debit card without prior notice or approval of the Client. In the unlikely event that the Royal Oak does not, for any reason, have the required number and types of rooms available as per the booking, they reserve the right to relocate the Client to an alternative hotel of a similar standard as close as possible in the same area. The Royal Oak does not accept any liability for any loss or damage suffered by or caused to the Client in consequence of the relocation of the Client.

Payment

Settlement of the bill in full, less any advance payments, must be made prior to departure from The Royal Oak unless otherwise agreed in writing with a Director of the business. Upon arrival the Royal Oak reserves the right to request preauthorisation of the Clients credit or debit card or, where payment is to be made by cash, request the Client to place cash up to an amount of 1.5 times the room rate multiplied by the number of nights booked.

Children

Children aged 15 years and younger must be accompanied by a responsible adult client at all times and the client must ensure that the children’s behaviour is appropriate for other guests.

Smoking

Smoking is not permitted in any area of The Royal Oak Inn including the guest bedrooms. The Royal Oak reserves the right to make an appropriate charge to guests for deep cleaning of rooms, should a guest be found to have been smoking and will charge this to the client’s credit card without prior notice.

Dogs and Pets

The Royal Oak does not allow dogs or other pets to be kept in the Guest Accommodation and reserves the right to charge for deep cleaning should the Client be found to have kept a dog or other pet in their rooms. This does not apply to guide dogs and hearing dogs who will be normally be allowed access at the discretion of the duty manager.

Behaviour

The Royal Oak reserves the right to judge what are acceptable levels of noise or behaviour of clients, their guests or representatives. Clients must take all steps to immediately correct unreasonable action as requested by The Royal Oak. In the event of failure to comply with reasonable management requests, The Royal Oak may terminate the booking, stop any event immediately and/or ask the Client to vacate the Royal Oak premises immediately without the Royal Oak being liable for any refund or cancellation.

Right of Refusal

The Royal Oak reserves the right to refuse a client, guest or representative entry and accommodation if on arrival, management reasonably considers that the guest is under the influence of drink or drugs, is unsuitably dressed or is behaving in a threatening, abusive or otherwise unacceptable manner. The client agrees at all times not to use any facilities of The Royal Oak for any immoral or illegal purpose and agrees to indemnify The Royal Oak accordingly.

Discrimination

It is the policy of The Royal Oak not to discriminate on grounds of race, colour, nationality, religion, sex, marital status, age, ethnic origin or disability. Clients, their employees, guests and all sub-contractors engaged by or on behalf of the Client are expected to adhere to this policy and The Royal Oak may, without incurring any liability to the Client, remove from the Royal Oak any person or persons offending against this policy with immediate effect.

External Purchases

No wines, spirits, beers or food may be brought into The Royal Oak by Clients or their guest without the express permission of the Management who reserve the right to charge a fee for consumption of such items.

Comments or Complaints

We would like to hope that we achieve as high a level of comfort and excellence as possible for every client. In the unlikely event that we fail, we would like the chance to remedy the situation immediately. Please ask to see the duty manager at the time of visit so that the matter can be resolved immediately. Alternatively write to us and we will respond as soon as possible.

Statutory Requirements

The Royal Oak is subject to statutory controls including those relating to fire, licensing, entertainment, health, hygiene and safety. These must be strictly observed by clients, their guests and representatives. Our policies can be viewed at any time by asking the duty manager for the relevant file.

Liability

Other than for death or personal injury caused by the negligence of The Royal Oak, the Royal Oak’s liability to the Client is limited to the price of the booking. The Client indemnifies the Royal Oak from and against any and all liability, and any claims, proceedings or damages resulting or arising from the booking, event or function, the Client, guests or any outside contractors to the Client. The Royal Oak will not be liable for any failure to perform to the extent that the failure is caused by any factor beyond its reasonable control. The Royal Oak does not accept any responsibility for the Clients personal property nor those of its guests, employees, representatives. Clients should ensure that valuables are covered by the Clients own insurance policy. The Client is responsible for any damage caused to the allocated rooms, its furnishings, utensils and fixtures and fittings and equipment in such rooms by any act, omission, default or neglect by the Client, its guests or representatives and shall pay to The Royal Oak on demand the amount required to make good or remedy any such damage. The Royal Oak’s liability is limited to the terms of The Hotel Proprietors Act 1956. Clients must report any loss of or damage to their property immediately on discovery to the Manager.Clients should not enter areas of The Royal Oak indicated as closed, or not normally accessed by the public, and The Royal Oak shall not be responsible for the death, personal injury or loss or damage to property suffered by the client and their guests in such areas.

Third Party Liability

The Royal Oak does not accept any liability for services rendered by third parties to Clients not withstanding that such services may be arranged by The Royal Oak. Any claim, demand, charge, suit or damages which may be incurred by the Client or their Guests shall be made directly with such third parties and The Royal Oak shall render all reasonable assistance in this regard.

Internet facilities

Internet facilities are provided by third party providers. The Client acknowledges that there may be disruption to the connection without prior notice and The Royal Oak shall not be liable whatsoever for such disruption. The Client further undertakes not to use the facility for any illegal or indecent purpose or in connection with any criminal offence and in contravention of any licence and will indemnify the Royal Oak against any claim, demand, suit proceeding or prosecution arising therefrom.
